The Executive Secretary to the President Director serves as a high-level executive partner, managing daily operations, strategic communication, and specialized administrative tasks due to in petrochemical sector involves global stakeholders, heavy regulatory compliance, complex supply chains, and strict Health, Safety, and Environment (HSE) standards. This role requires deep industry discretion and outstanding corporate coordination.
Key Accountabilities:
Executive Schedule & Liaison Management
- Calendar Management: Coordinate and optimize the President Director’s complex daily agenda, minimizing scheduling conflicts across multiple time zones.
- Gatekeeping: Screen all incoming calls, emails, and corporate visitors; prioritize critical requests and route minor queries to relevant department heads.
- Stakeholder Relations: Act as a professional point of contact between the President Director, joint venture partners, government authorities, the Board of Commissioners, and national-global suppliers Meeting Coordination & Corporate Governance
- Board Meetings: Arrange and facilitate high-stakes Board of Directors (BOD), Board of Commissioners (BOC), and Annual General Meetings (AGM).
- Agenda and Minutes: Compile meeting briefs, draft technical agendas, and record meticulous minutes, specifically tracking highly technical petrochemical project updates.
- Action Item Tracking: Monitor deadlines on strategic management directives, following up with project managers to ensure compliance Technical Documentation & Discretion
- Document Control: Manage, proofread, and archive highly confidential documentation, such as chemical plant expansion proposals, legal permit applications, and safety compliance audits.
- Data Presentation: Prepare professional corporate presentations, business reports, and executive summaries for joint venture meetings or global energy summits.
- Expense Management: Track the President Director’s travel expenses, corporate entertainment invoicing, and specific department administrative budgets Logistics & Travel
- Itinerary Management: Arrange extensive domestic and international travel logistics, including visas, permits, local transport, accommodations etc.
Persyaratan
- Education: Minimum of a Bachelor's Degree in Secretarial Studies, Business Management, Administration, Communication, Corporate Law, or Industrial Engineering.
- Experience: 3–5+ years of proven experience as an Executive Secretary or Personal Assistant to C-level executives, ideally within the petrochemical, ammonia, methanol, oil & gas, mining, or heavy manufacturing industries.
- Language Proficiency: Complete fluency in written and spoken English is typically mandatory and fluency in Mandarin is highly valued due to the international nature of the chemical trade and operation.
- Technical Skills: Mastery of Microsoft Office Suite (Word, Excel, PowerPoint) and collaboration platforms. Familiarity with Enterprise Resource Planning (ERP) systems like SAP is a major advantage.
- Soft Skills: Absolute confidentiality, high resilience under pressure, good in time management, exceptional multitasking skills, attention to detail, organizational skills, and the ability to prioritize tasks effectively and a polished, professional demeanor
- Willing to work on a 1-year contract basis.
- Willing to be based in Jakarta and travel to a remote site location in Bengalon site office in East Kalimantan, as required.
